Administration Manager

About the role

Seib Insurance & Reinsurance Company, part of the Chedid Capital group, is seeking an Administration Manager to oversee office operations and provide executive support to the COO and Deputy CEO. This role is pivotal in ensuring smooth daily functions, coordinating events, and managing projects across a global network of subsidiaries.

Key responsibilities

• Manage daily office operations, maintenance, and improvements.
• Supervise the administration team, drivers, and administrative assistants.
• Support employees on HR matters and coordinate with the HR department.
• Oversee purchasing processes, verify LPOs, obtain quotations, and ensure proper approvals.
• Review and cross‑check documents requiring the COO’s signature for accuracy and completeness.
• Organise company events, exhibitions, client meetings and ensure coordination with Finance, Marketing, and external suppliers.
• Collaborate with Marketing to prepare brochures and other collaterals.
• Manage the COO’s calendar, appointments, and meeting requests.
• Prepare meeting agendas, minutes, and follow‑up on action items.
• Lead projects assigned by the COO, ensuring timely delivery within scope.
• Coordinate internal and external communication for the Captive Management Division.
• Maintain records, reports, approvals, and confidential documents.
• Promote cost‑saving initiatives, support paperless projects, and identify operational efficiencies.

Required profile

• Bachelor’s degree in business administration, management, or a related field.
• 7+ years of experience in a similar administrative or operations role.
• Fluency in English and Arabic.
