About the role
The Fleet Operations Assistant supports customers and ensures smooth vehicle replacement and service processes for the company's fleet. You will act as the main point of contact for walk‑in and phone inquiries and keep fleet data up to date.
Key responsibilities
- Assist walk‑in and phone customers, responding to inquiries and arranging timely vehicle replacements.
- Log check‑ins and check‑outs, schedule service appointments, and update vehicle status in the system.
- Prepare documentation for unknown‑party accidents and follow up with workshops and body shops.
- Enter all vehicle transactions, mileage, fuel level, damage, and registration details accurately on the same day.
- Maintain customer records, contracts, and vehicle assignments, and generate daily/weekly fleet status reports.
- Scan, file, and archive contracts, delivery notes, police reports, and invoices both digitally and in hard copy.
Required profile
- Ability to multitask and manage a heavy workload.
- Good time management and decision‑making skills.
- Excellent communication and listening abilities.
