Rental Coordinator - Car Fleet Operations

About the role

The Rental Coordinator supports the multi-branch vehicle rental operations of Al-Futtaim in Doha, ensuring each branch has enough available vehicles according to customer bookings and vehicle readiness. Reporting to the Operations Supervisor, the coordinator schedules and tracks deliveries and collections, manages incoming vehicles and coordinates with the yard, vehicle preparation, maintenance and rental teams. The role is defined by managing operations against tight deadlines with a strong customer-service focus.

Key responsibilities

• Receive the daily reservations manifest and allocate a vehicle to each booking by branch, vehicle group and pick-up time, coordinating changes such as amendments, extensions, cancellations and upgrades
• Schedule deliveries and collections, assign drivers and track driver movements during the shift, resolving delays and reassigning jobs as needed
• Coordinate with the yard and vehicle preparation teams so vehicles are cleaned, fueled and inspected before dispatch, and keep a buffer of ready vehicles for walk-up customers
• Manage incoming vehicles: check-in, inspection, fuel and damage recording, then route them to preparation, maintenance or reallocation and update their status in the rental system
• Review upcoming bookings, forecast vehicle needs by branch and group, identify shortages or surpluses and share a weekly fleet availability forecast
• Act as the main operations contact for branch rental teams, communicate changes to delivery, collection and availability promptly, and brief drivers at the start of each shift
• Record driver attendance, lateness and productivity daily and report issues to the Operations Supervisor
• Update daily reports on deliveries, collections, on-time performance, incoming vehicles and branch availability, and send the shift handover document to the Operations Supervisor
• Handle customer queries about deliveries and collections by phone and email, and escalate complaints, breakdowns and accidents to the Operations Supervisor

Required profile

• Diploma in Business Administration, Logistics or a related field, or equivalent experience
• At least 3 years of experience in car rental, fleet operations or vehicle logistics, preferably in car rental businesses
• Valid Qatar driving licence
• Fluent English; Arabic is an advantage
