Technical Document Assistant (Turnaround)

About the role

Madre Integrated Engineering is hiring a Technical Document Assistant for its Turnaround Section in Doha. The role provides administrative and operational support to the Head of Turnaround Section and the Contract Coordinator, keeping correspondence logs up to date and managing technical documents and contractor requests.

Key responsibilities

• Maintain the Turnaround Section correspondence log, recording, tracking and closing communications with contractors and internally without backlog.
• Coordinate with the Head of Turnaround on periodic section meetings, record meeting minutes and track section KPIs, training and safety records.
• Retrieve and provide technical documents, standards and references via the QTDMS system.
• Prepare Minutes of Meeting (MOM) and verify submitted documents with lump-sum contractors.
• Use SharePoint and other document management systems to ensure document control, maintenance and quality compliance.
• Process gate pass requests (manpower, materials, vehicles) through the HSEQ Portal and track requests for porta cabins, tool containers and other contractor needs.
• Keep sensitive documents confidential, follow approval protocols before sharing information, and coordinate with Facilities & Services for office stationery.
• Maintain housekeeping and organisation within the Turnaround Section.

Required profile

• Technical Diploma / Graduate or equivalent; physically strong, dynamic and enthusiastic.
• Excellent spoken and written English.
• Minimum 5 years of direct, relevant experience as a Technical Documentation Assistant in a Document Control function, preferably in Oil & Gas or Petrochemical.
• Good attention to detail and ability to handle multiple tasks.
