Sales Administrator – Automotive

About the role

The Sales Administrator supports the automotive sales team by handling all administrative, documentation and system processes linked to vehicle sales. Working in a fast‑paced dealership environment, the role ensures accurate data entry, timely reporting and smooth coordination from booking to vehicle delivery.

Key responsibilities

• Prepare and submit daily, weekly and monthly internal and external sales reports with zero mismatches.
• Update sales data in the GAC DMS and live tracking sheets, maintaining 100% on‑time submission.
• Maintain accurate inventory records for new arrivals, transfers, demo units and damaged vehicles.
• Upload stock data to SAP, achieving at least 99% inventory accuracy.
• Review deal calculations, issue SAP and manual bank invoices after finance approval, and ensure invoicing errors are eliminated.
• Prepare vehicle freight templates, track shipments, evaluate GRNs and process freight, duty and vendor invoices.
• Coordinate repairs for port‑received vehicle damages, manage claims and PDI requests to avoid delivery delays.
• Handle vehicle insurance, registration, renewals and manage demo‑vehicle logistics.

Required profile

• Minimum of 1 month experience in sales administration or a related automotive environment.
• Strong attention to detail and ability to work under strict compliance with OEM and internal systems.
• Excellent organizational skills to manage multiple documentation streams simultaneously.

Required skills

• Proficiency with SAP.
• Advanced Excel skills.
• Experience using ERP systems.
• Familiarity with GAC DMS.
