Visa Officer – Visa Application Processing & Customer Service

About the role

The Visa Executive is responsible for assisting customers with visa applications by providing accurate information, reviewing supporting documents and completing online or offline application forms. The role ensures applications are processed efficiently and in accordance with embassy, company and customer‑service requirements. The position also communicates application progress to customers, coordinates submissions and collections with embassies and maintains accurate and confidential visa records.

Key responsibilities

• Complete online and offline visa application forms accurately and verify that all required documents are provided.
• Explain visa requirements, procedures and processing times to customers, respond to calls and emails, and provide regular updates.
• Submit and collect visa applications and related documents from embassies, monitor progress and communicate any delays or additional requirements.
• Maintain accurate, complete and confidential records of visa applications, supporting documents and customer correspondence.
• Understand and comply with the company’s Integrated Management System, environmental and occupational health & safety policies, and report incidents promptly.

Required profile

• Bachelor’s degree or diploma (travel‑related qualification preferred).
• Minimum one year of experience in visa processing, travel agency or tour reservations.
• Good knowledge of visa application procedures and documentation requirements.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• Strong verbal and written communication, attention to detail and ability to manage multiple applications within deadlines.
• Willingness to visit embassies for document submission and collection when required.
