Sales Coordinator – Commercial Division

About the role

The Commercial Sales Coordinator provides essential administrative and operational support to the hotel’s Commercial Division, covering Sales, Events, Marketing and Revenue Management. Acting as the communication hub, the role ensures smooth workflow across departments, manages key databases, and prepares vital revenue reports in a fast‑paced environment.

Key responsibilities

• Serve as first point of contact for sales and event inquiries, log them in the CRM and distribute to managers.
• Draft proposals, Group Sales Agreements and Event Orders using standard templates.
• Coordinate site inspections, VIP amenities and welcome materials for prospective clients.
• Maintain and update the sales/catering database (e.g., Opera Sales & Catering, Delphi) to keep client data accurate.
• Organise sales kits, brochures, branded giveaways and digital marketing assets.
• Assist the marketing team with social‑media scheduling, media tracking and press‑kit preparation.
• Extract daily, weekly and monthly reports from the PMS for the Revenue Manager and assist with competitor pricing analysis.
• Cross‑check rates, packages and promotions for correct loading into the reservations system.
• Schedule commercial/revenue meetings, prepare agendas and take detailed minutes.
• Process department invoices, track expenses and coordinate travel‑agent commission payouts with finance.

Required profile

• 1–2 years of administrative or coordination experience, preferably in a hotel front office, reservations or sales environment.
• Strong organisational and time‑management abilities to handle tasks from multiple department heads.
• Excellent written and verbal communication skills.
