Administrative & Operations Coordinator

About the role

WZN Healthy Food is looking for an organized, dependable and proactive Administrative & Operations Coordinator to keep daily business activities running smoothly in Doha. Reporting to management, you will coordinate across departments, maintain accurate records and ensure tasks are followed through to completion.

Key responsibilities

• Prepare professional emails, letters, reports, spreadsheets, presentations and meeting notes; organise company records, contracts, quotations and invoices.
• Schedule meetings, appointments and interviews, record action items and track deadlines.
• Coordinate with kitchen, nutrition, customer service, delivery, finance, IT and other teams, maintaining a task tracker and escalating delays.
• Manage supplier relationships: request and compare quotations, follow up on orders, deliveries, shipments and invoices.
• Document and coordinate technology issues with developers and IT providers, tracking resolutions.
• Support recruitment processes, employee documentation and finance administration by organising CVs, invoices and financial documents.

Required profile

• 2‑5 years of experience in administration, operations coordination or executive support, preferably in food service or a similar service‑based business.
• Strong organisational skills, attention to detail and the ability to follow‑through on multiple tasks.
• Excellent written and spoken English with professional communication abilities.
• Ability to work independently, exercise sound judgment and handle confidential information discreetly.
