Engineering Facility Administrator

About the role

The InterContinental Doha hotel is looking for an Engineering Facility Administrator to support the Engineering Department in its day-to-day operations. The role covers administrative tasks and the storekeeping of engineering inventory, and is expected to follow the five core values: Do the Right thing, Show we care, Aim Higher, Celebrate Difference and Work better together.

Key responsibilities

• Coordinate and distribute work orders to technical staff as needed.
• Handle day-to-day secretarial work such as typing, filing, telexes, faxes and telephone messages, and ensure documents, letters, memos and information are distributed on time.
• Arrange internal and external appointments and translate incoming mail, documents and articles as needed.
• Keep contracts, financial records, energy reports and other documents safely filed, and assist in maintaining regional files.
• Follow up on the monthly reporting of other hotels in the region and supervise the use of stationery and the photocopy machine.
• Assist with administrative matters relating to the regional director of engineering.
• Ensure merchandise is stored under optimal conditions and ready for issue; verify quantities of arriving materials.
• Maintain a complete inventory system with labels showing number, name, issued unit, minimum and maximum stock, and prepare a monthly store inventory report following accounting rules.
• Make sure all store issues are recorded against completed requisitions with clear code numbers, and verify re-order lists against physical quantities before submitting them to the department head.
