Rental Coordinator - Vehicle Fleet Operations

About the role

The Rental Coordinator supports the fast-paced, multi-branch vehicle rental operations of Al-Futtaim by coordinating logistics so that each branch has enough available vehicles according to customer bookings and vehicle readiness. The role reports to the Operations Supervisor and covers scheduling and tracking deliveries and collections, managing incoming vehicles and keeping branches supplied. It suits someone who can work to tight deadlines with a strong customer-service focus.

Key responsibilities

• Receive the daily reservations manifest and allocate a vehicle to each booking by branch, vehicle group and pick-up time, updating it after changes such as amendments, extensions, cancellations and upgrades.
• Schedule deliveries and collections, assign drivers and track driver movements, resolving delays and reassigning jobs as needed.
• Ensure vehicles are cleaned, fueled and inspected before dispatch and keep a daily buffer of ready vehicles for walk-up customers.
• Check in incoming vehicles, record fuel and damage, and route them to preparation, maintenance or reallocation.
• Forecast vehicle requirements by branch and group, identify shortages or surpluses and share a weekly fleet availability forecast.
• Act as the main operations contact for branch rental teams, communicate availability changes promptly and coordinate with the Rental team and Operations Supervisor.
• Update the delivery board, brief drivers at the start of each shift, assign jobs and record driver attendance, lateness and productivity.
• Report daily on deliveries, collections, on-time performance and incoming vehicles, and send shift handover documents and ad-hoc reports as requested.
• Handle customer queries by phone and email and escalate complaints, breakdowns and accidents to the Operations Supervisor.

Required profile

• Diploma in Business Administration, Logistics or a related field, or equivalent experience.
• At least 3 years of experience in car rental, fleet operations or vehicle logistics, preferably in car rental businesses.
• Valid Qatar driving licence.
• Fluent English; Arabic is an advantage.
