Associate - Project Coordinator

About the role

This role provides project management and administrative support to the Project Manager in delivering Digital Transformation and AI initiatives. It covers coordinating project activities, keeping project documentation, supporting governance and reporting, and ensuring clear communication between business stakeholders, technical teams and external vendors.

Key responsibilities

• Support the Project Manager in planning, coordinating and monitoring multiple Digital Transformation and AI projects.
• Track project schedules, milestones, action items and deliverables.
• Coordinate project meetings, prepare agendas, capture minutes and follow up on action items.
• Coordinate communication between stakeholders, technical teams, consultants and vendors.
• Prepare and maintain project documentation such as PIDs, project plans, meeting minutes, action registers, RAID logs and status reports.
• Maintain project trackers, documentation repositories and reporting artefacts for project governance.
• Assist in coordinating vendor engagements, workshops and business requirement discussions.
• Prepare weekly and monthly status reports, dashboards and management presentations.
• Maintain project records and collaboration sites using Microsoft tools such as SharePoint, Teams and Office applications.

Required profile

• Experience supporting project delivery within Digital Transformation, IT or Business projects.
• Strong organisational, coordination and time management skills.
• Excellent written and verbal communication skills.
• Ability to coordinate multiple stakeholders and manage competing priorities.

Required skills

• Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, Teams).
• Experience preparing project documentation, reports and presentations.
• Desirable: experience with SharePoint, Power BI or project management tools; knowledge of Agile and Waterfall; exposure to Digital Transformation, AI, Data Analytics, SAP, Microsoft Power Platform or enterprise technology projects.
