About the role
The Administration Coordinator provides essential administrative support to ensure the smooth daily operation of the QAS department. This role handles confidential information, manages correspondence, and assists with departmental projects to support corporate initiatives.
Key responsibilities
- Perform secretarial duties, including handling confidential documents and sensitive information.
- Manage calendars, arrange travel, and coordinate appointments for department staff.
- Prepare, distribute, and file business documentation such as reports, presentations, and spreadsheets.
- Maintain and update departmental databases (e.g., leave records, injury reports, vehicle permits, headcount).
- Track staff travel paperwork, including exit permits, tickets, per diems, hotels, and visas.
- Establish and maintain a confidential filing system for all departmental correspondence.
- Coordinate office equipment needs for new and existing staff and maintain asset records.
- Communicate internally and externally to facilitate effective administrative support.
Required profile
- Strong organizational abilities with a keen eye for detail.
- Ability to handle confidential and sensitive information tactfully.
- Excellent communication skills for internal and external interactions.
- Proven capability to manage multiple tasks and meet deadlines.
- Self‑motivated and able to work independently on assigned projects.
