Sales Administrator – Automotive

About the role

The Sales Administrator supports the automotive sales team by handling all administrative, documentation and system processes linked to vehicle sales. The role ensures accurate data entry, timely reporting and smooth coordination across departments, delivering a seamless customer journey from booking to delivery.

Key responsibilities

• Prepare and submit daily, weekly and monthly internal and external sales reports with zero data mismatches.
• Update sales data in the GAC DMS and live tracking sheets, maintaining 100% on‑time submission.
• Maintain accurate inventory records for sales, new arrivals, transfers, demo units and damaged vehicles.
• Upload stock data in SAP, achieving at least 99% inventory accuracy.
• Review deal calculations, issue SAP and manual bank invoices after finance approval, and ensure invoicing errors are zero.
• Coordinate freight templates, track shipments, evaluate GRNs and post freight, duty and vendor invoices.
• Manage vehicle repairs, claims, PDI requests and insurance documentation to avoid delivery delays.
• Handle showroom calls, petty‑cash, PO creation for vendors and stock management of merchandise and pantry supplies.

Required profile

• Bachelor’s degree or diploma in Business Administration, Commerce, Accounting or a related field.
• 2‑4 years of experience in sales administration or administrative support within the automotive sector.
• Strong knowledge of automotive sales operations, invoicing, inventory control and documentation processes.
• Proven ability to coordinate with large cross‑functional teams (sales, finance, logistics, after‑sales).

Required skills

• Advanced Excel proficiency.
• Experience with ERP systems (e.g., SAP, GAC DMS).
• End‑to‑end deal documentation accuracy.
