Operations Administrator

About the role

Madre Integrated Engineering is hiring a full-time Operations Administrator in Doha within the oil and gas sector. The role covers coordination of owners' association activities, owner enquiries, contract tracking and general administrative support.

Key responsibilities

• Coordinate AGM and Owners Association meetings, prepare invitations and notices, draft minutes, and keep association records and documentation
• Receive and record owner and resident enquiries, refer them to the right team members and follow up on pending requests
• Compile and distribute approved Quarterly Management Reports and official correspondence
• Maintain contract records and tracker, monitor expiry dates and flag upcoming renewals
• Process and maintain utility, FM and other related invoices, and follow up on documentation
• Assist with correspondence, scheduling, meeting arrangements, routine reports and filing systems, and coordinate with internal departments

Required profile

• Diploma in Administration, Commerce or Hospitality with further technical training in administration and clerical work
• 3 to 5 years of relevant experience in administration or clerical work
• Proficiency in Arabic and English, written and spoken
• Excellent interpersonal and communication skills, strong organization and problem-solving ability, and attention to detail
• Awareness of QHSE management system, policies and procedures, and knowledge of security requirements and emergency preparedness

Required skills

• Experience with office equipment and the Microsoft Office suite
• Ability to use CRM and ERP systems
• Typing speed of at least 60 wpm
• Independent drafting of professional letters, memos and reports, and knowledge of administrative and clerical procedures
