Rental Coordinator - Vehicle Fleet Operations

About the role

The Rental Coordinator supports the fast-paced, multi-branch vehicle rental operations of Al-Futtaim Vehicles Rental in Qatar. The role ensures each branch has enough available vehicles according to customer bookings and vehicle readiness. It reports to the Operations Supervisor and covers scheduling and tracking of deliveries and collections, managing incoming vehicles and coordinating with other teams. Success means managing operations against tight deadlines with a strong customer-service focus.

Key responsibilities

• Receive the daily reservations manifest and allocate a vehicle to each booking by branch, vehicle group and pick-up time, updating it after changes such as amendments, extensions, cancellations and upgrades.
• Schedule deliveries and collections, assign drivers and track driver movements, resolving delays and reassigning jobs so that all deliveries and collections finish on time.
• Work with Yard and Vehicle Preparation teams to ensure vehicles are cleaned, fueled and inspected, and keep a daily buffer of ready vehicles for walk-up customers.
• Check in incoming vehicles, record fuel and damage, route them to preparation, maintenance or reallocation and update their status in the rental system.
• Forecast vehicle requirements by branch and group, identify shortages or surpluses, share a weekly fleet availability forecast and act as the main contact for branch rental teams on availability and upgrades.
• Hold a brief with drivers at the start of each shift, assign jobs, record attendance and productivity, and report issues to the Operations Supervisor.
• Report daily on deliveries, collections, on-time performance, incoming vehicles and branch availability, and send shift handover documents and ad-hoc reports as requested.
• Handle customer queries by phone and email, escalate complaints, breakdowns and accidents, and follow company policies.

Required profile

• Diploma in Business Administration, Logistics or a related field, or equivalent experience.
• At least 3 years of experience in car rental, fleet operations or vehicle logistics, preferably in car rental.
• Valid Qatar driving licence.
• Fluent English; Arabic is an advantage.
