Sales Administrator – Automotive Dealership

About the role

The Sales Administrator supports the dealership sales team by handling all administrative, documentation and system processes related to vehicle sales. The role ensures accurate data entry, timely reporting and smooth coordination between sales, finance, logistics and after‑sales to deliver a seamless customer journey from booking to delivery.

Key responsibilities

• Prepare and submit daily, weekly and monthly internal and external sales reports with zero mismatches.
• Update sales data in the GAC DMS and live tracking sheets, maintaining 100 % on‑time submission.
• Maintain accurate inventory records for new arrivals, transfers, demo units and damaged vehicles, and perform SAP stock uploads achieving 99 % accuracy.
• Review deal calculations, issue SAP and manual bank invoices after finance approval, and ensure invoices are issued within SLA with no errors.
• Coordinate freight, track shipments, evaluate GRNs and process freight, duty and vendor invoices for expense posting.
• Manage vehicle insurance, registration, renewals and PDI requests to avoid delivery delays.
• Handle showroom calls, petty cash, PO creation for vendors and stock management of merchandise and stationery.

Required profile

• Bachelor’s degree or diploma in Business Administration, Commerce, Accounting or related field.
• 2–4 years experience in sales administration or administrative support, preferably in automotive sales.
• Strong knowledge of sales documentation, invoicing, inventory and coordination across large teams.

Required skills

• Advanced Excel proficiency.
• Experience with ERP systems such as SAP and GAC DMS.
• Excellent IT skills for end‑to‑end deal documentation accuracy.
