About the role
The World Health Organization is seeking a proactive Team Assistant to support its country office operations. The role ensures smooth administrative processes, facilitates travel arrangements, and provides essential secretarial support to staff and visitors.
Key responsibilities
- Receive, screen, and process correspondence and requests, ensuring timely follow‑up.
- Draft, type, and format letters, reports, and presentations in line with the WHO Style Guide.
- Arrange staff travel, submit travel requests in the Global Management System, and manage flight and hotel bookings.
- Prepare meeting materials, send invitations, handle logistics, and provide secretarial support during meetings.
- Welcome visitors and callers, schedule appointments, and maintain reference files.
- Process administrative transactions in GSM, including procurement and payment follow‑up.
- Cover for other assistants as needed and monitor office stationery supplies.
- Maintain office premises records, publication lists, and logistical support for office activities.
Required profile
- Secondary education with secretarial/administrative training; a university degree in business administration or social sciences is an asset.
- Minimum three years of relevant secretarial or administrative experience; UN system experience is desirable.
- Good knowledge of WHO rules, manuals, procedures, and the WHO Style Guide.
