Operations & Technical Coordinator

About the role

The Operations & Technical Coordinator supports the daily management of a vessel fleet, ensuring smooth operations, regulatory compliance, and accurate documentation. The role acts as a liaison between shipping agents, internal teams, and third‑party service providers.

Key responsibilities

• Assist with day‑to‑day fleet operations and ensure structured handling of all operational tasks.
• Liaise with shipping agents to verify documentation for timely vessel clearance at ports.
• Maintain compliance with local and international maritime regulations.
• Prepare and archive accurate daily, weekly, and monthly operational reports.
• Monitor purchase requisitions submitted by vessels in NS5, ensuring timely delivery of supplies and adherence to procurement procedures.
• Raise purchase orders for services, track their progress, and close requisitions in NS5.
• Upload and manage compliance reports (ISM, ISPS, MLC) and vessel certificates to the company server.
• Maintain records of vessel P&I, H&M, and flag insurance documents.
• Attend vessel audits, flag inspections, and third‑party inspections, following up on corrective actions.
• Ensure vessel certification and safety equipment checklists are up to date and serviced.
• Support implementation of ISM/ISO quality, health, safety, security, and environmental policies.
• Prepare operational memoranda, technical bulletins, and inspection reports.
• Manage travel arrangements for operations, technical staff, and third‑party service providers.
